August minutes submitted to be posted on the website.

No corrections were made to the minutes. Minutes approved as distributed, to be posted to the website.

Artistic Director, Lee

Received $8,000 grant from Jon Sims Endowment for Timpani.  Need to raise $4,000 in order to receive it.  More in new business. Received $7,000.00+ from Missouri Arts Council. Interim report due mid September.  Did not apply for ArtsKC Catalyst Mission Support and instead will be applying for ArtsKC Project Grant (max $5,000.00 estimated received amount $1-2K.)

Reducing the rep for Fall concert. Hopefully we can be rehearsing within two weeks.  If not we will need to cancel Oct concert or move into November.

Regarding Jon Sims Endowment, we need to have a capital campaign fundraiser to raise $4,000 to receive the grant.  There is some hesitation regarding soliciting for a capital campaign if we are not rehearsing.  Will discuss in new business.

Northland Pride video submission due this week, we are going to suggest reusing our Lizzo submission from last year.

Assistant Artistic Director, Jessie

Eager to get back to rehearsals. I sent out an instrumentation survey, and it seems we will have full winds sections once we are back, with some key lead players in place!

Board Chair, Christian 

I sent an email to the church last week asking if we could get back to rehearsals if we’re all vaccinated and have forwarded my request to their re-opening committee. I have sent them another email this evening asking them when they think they will congregate and let us know when we can get back in.

Shout out to Jessie for getting us some forms from Lakeside Pride that we will use. Their plan requires everyone who comes to rehearsals to fill out the form that will help contract trace. If a member doesn’t fill this form out before rehearsal they will not be admitted to the building.

Got the Missouri business filing done.

We will not ask for a photo of their vaccine cards, because we don’t want to house that information.  Will use a google form/questionnaire and keep a master list of people that are vaccinated (after they check-in at the first rehearsal).  After showing the initial proof of vaccination, members will not be asked again.  Indemnification waivers are part of the membership agreement, we will push out for members to sign-off so we are prepared prior to starting rehearsals again.

Pushed out the membership campaigns for paying dues and membership agreement. Anyone that would like to pay monthly dues will need to be set up in the system, please reach out to Ian.  Holding on submitting Gem Theater contract/payment until we have a more clear idea of the future.  Ian will reach out to the Houston Pride to see if they would like to have a session regarding Flipcause to present an educational session.

What do we want to do?  Digital Fundraiser?  Plan for holidays? Dine for dollars?

Lee suggested a trivia game that was fun.  Rameka will start planning a capital campaign for the timpani (targeted/specific, small window to give).  Would like to launch before the end of September.  Lee will put together verbiage and Rameka will work on the general theme/sponsorship packages.  When it’s finalized Rameka will submit to Ian so he can work with FlipCause to build.

Returning to Rehearsal

Return to rehearsals - we heard back from the Church that we are welcome back!  With a short week/little notice we will not rehearse this week but will start prepping for rehearsal Sept 16.  Ian is pushing out membership agreements.  Lee will email members with information (Covid protocol, etc.).  

We will follow along with other KC venues that the audience has to show proof of vaccination or a negative COVID test within 48 hours.  Covid policy will be shared on ticketing build-out, website and signage at the concert.

We will not require performers masks according to KC policy (membership is vaccinated).  Membership is welcome to use masks/bell covers, whatever they need to feel comfortable.
